Board and Advisory Team Relation Manager

We are seeking an ambitious and organized person to serve as Board and Advisory Team Relation Manager. As the Hay Institute scales as a nonprofit, we are at a critical point for the organization – one that requires maturity, multitasking, focusing on a diverse set of activities, eagerness to learn, and the ability to think broadly and act strategically.

At a high level, the Board and Advisory Team Relation Manager will play a three-pronged role within the leadership team. Primarily, the individual will support the board in their day to day activities, ensuring that their time is leveraged. Secondarily, the role is responsible for the day to day management of our fundraising and communication strategy, in close collaboration with the leadership team. Finally, the role will support the overall running of the organization to ensure the leadership team has the tools they need to execute effectively. This is a position with remarkable close access to the members of the board and advisory team.


- Prepare and edit correspondence and drafts on behalf of the President and other board members to facilitate relationship development strategies
- Provide advance planning for domestic and international travel to ensure maximum impact for each trip
- Capture the outcomes and next steps from meetings and coordinate with the team to ensure follow-up including making sure the meeting minutes and agenda are accurately prepared and stored.
- Develop and implement day to day systems that leverage the work of the President and board

Fundraising Responsibilities:

- Work with the Leadership, VP of Development, and Communication Director to execute communications around major gift donations from individuals to the organization; likely to include support for personal communications, tracking of opportunities, maintaining process around reaching out to prospects and securing commitments
- Track and manage regular contact with donors and partners to ensure projects that expand the Hay Institute’s mission are in progress and show any changes in background accordingly.
- Meticulously document and record each relationship’s details.
- Work with team on drafting of grant proposals or specific financial tasks connected to project undertaken; maintaining a focus on fundable opportunities and tracking of funding sources
Support development and maintenance of publicity and other materials that support fundraising efforts

Other Management Responsibilities:

- Provide back virtual office support to the organization.
- Work with technology vendors and others to support the team in remote positions, ensuring they can function as efficiently.
- Coordinate logistics around events hosted by the Hay Institute and team meetings hosted virtually or in-person in Washington D.C.

- Ease with technology and expert user knowledge of the Salesforce CRM platform, Google Docs and SharePoint, and Microsoft Office 365.
- Clear ambition and eagerness to perform at a high level – willing to take on challenges and navigate through ambiguity to get to insights.
